Abstract

Monitoring programs, projects, and activities (PPAs) is important for transparency, accountability, and making good use of public resources in schools. Still, many organizations use manual and scattered tracking methods, which can cause delays, inconsistent data, and poor oversight of projects and funds. This action research set out to create and use an automated real-time digital monitoring system for the Schools Division Office of Batangas City to solve these problems.
The study used both surveys and interviews with key people involved in running, monitoring, budgeting, and planning projects. Respondents were chosen because they were directly involved in managing PPAs. The new system allowed real-time tracking of project status, fund use, and documents, all in one digital platform.
The results showed that users responded very positively, noting better decision-making, resource use, accountability, and project efficiency. They pointed out that the system gave timely updates, helped spot problems, and improved coordination between offices. These findings show that real-time tracking systems can make public-sector project management more responsive and efficient.
The study found that using an automated real-time monitoring system greatly improves efficiency and helps leaders make better decisions in education. It recommends that other institutions use similar real-time tracking tools to improve project oversight, increase transparency, and deliver programs and services on time
